VairFest 2012 Planning Committee Meeting

Minutes of February 9th meeting discussing the outline for our upcoming VairFest 2012.

Event is to take place on the weekend of June 22, 23 and 24, 2012 at Heritage Park in Arroyo Grande, CA.  Friday is the kick-off event with spaghetti feed, movie and popcorn.  Saturday is the car show, raffle, car awards, BBQ and a Corvair Caravan to a local winery.  Sunday is a completely optional day with an informal gathering for breakfast at the Village Café in downtown Arroyo Grande. Our typical Friday feed remains the same as in the past while Saturday’s events are scaled down in time to allow a late afternoon caravan to a local winery.  The BBQ and awards will be earlier in the day on Saturday.  Since Sunday’s events have been scarcely attended we decided to eliminate the wine tasting on Sunday and insert an optional breakfast meeting before folks head off to their final destination. Here is the lowdown:

Masonic Lodge rental: (per Jim Pennell) has been increased to $350 for full use of the lower floor and BBQ area out back. Insurance coverage is required by the Masons and we will either buy it from them for $60 or go to CORSA for our coverage.  Bob O will get in touch with Harry Jensen to determine what course of action we will need.  As of this writing an email has been sent to Dave Palmer and Harry Jensen on how to secure said insurance.

Friday: Mason’s Hall Arroyo Grande, CA

Spaghetti feed: Whole Wheat penne pasta, regular semolina penne pasta and a meat and non-meat sauce will be served. In addition there will be garlic bread, salad with a variety of bottled dressings, soft drinks, iced tea, coffee, ice cream dessert cup, and copious amounts of Two Buck Chuck. The pasta sauces will be self-serve out of crock pots at the buffet table. During the film we will have table munchies with chex mix, and pre popped popcorn in small bowls available to all. Is dinner starting at 6PM?

Mike Thomas will secure the sound system and the necessary AV equipment to project the film and to have music playing while we eat and prior to registration. Ambiance is crucial.  At the meeting we discussed a Tony Curtis early 1960’s race car film to be shown as the feature presentation of the evening.  In subsequent phone conversation with Jim Pennell that particular film ( I can’t recall the name right now) is unavailable in dvd format.  Other suggestions are welcome…how about Some Like It Hot? As I have never seen this “must see” movie!

Jim Corey will provide the wine glasses once again as I don’t think we have broken any in the last few years! He also said he could get a screen yet I completely forgot that I have a screen and projector that we could use.  Let me know if I need to provide it.

Mike Thomas will take over the registration for the event as well as get the who, what , where, when, why out to CORSA Communique, Hemmings and other places that car folks gather for upcoming event information. How about the donut shops, Mid State Cruisers and Donut Derelicts?

Bob O will get the information out to all West Coast Clubs as well as the Central Coast StreetRods calendar of events.

Catherine O will design a flyer that we can use to send to clubs via email, or print for other outlets using last year’s logo design provided by Jim Corey.

We will decorate the hall for the event with flowers in vases, candles for the tables and assorted crepe and what have you.

Saturday: Heritage Park, Arroyo Grande, CA.

Car show begins to park cars at 7:30AM and will park cars until 8:30 AM.  Ballots will be handed out at the registration table located under the Bandstand.  Registration will open at 7:30AM with a table located under the Bandstand.

BBQ will once again be headed by Don Hemwall. The BBQ pit we used from Chuck Smith will NOT be available for our use.  We will need to secure a rental or find a willing someone who will let us have one……. We will of course serve: Chicken, tri tip, salad, beans and will provide soft drinks and water during the entire day.  Ice: we will need lots of ice and several coolers.  I have one…….

Announcement of awards will be at 1:30 during the BBQ. Grand prize raffle winner will also be announced.  We will have a couple, or several smaller raffles during the day to keep things interesting and moving along.  Mike Thomas will once again provide the AV equipment to play music during the day as well as a microphone to use for announcing the awards.

Corvair Caravan Wine Tour:

At 3 PM we head off to a local winery for a late afternoon wine tour and tasting.  At press time we discussed Wolff Winery as a possibility and Jim Pennell will get in contact with those fine folks to see if they can host.

Don Hemwall will once again secure the awards for the car show as well as offer his exquisite BBQ services.

Jim Corey will provide wine glasses, logo art work to use on t-shirts and other press as well as able bodied in Friday’s kitchen. He will also keep me (Bob O) entertained as he does so well. He will also see that T-shirts are printed with logo and colors that are indeed in the rainbow of color options.

Bob O will head the Friday event securing wine, utensils, drinks, ice, cooking  pasta, sauces, salad, desserts, coffee, snacks for film, decorations for hall and other assorted comforts as they arise. He will contact all West Coast Clubs, Street rods calendar and Mid State Cruisers to be included in their calendar of events. He will also get a Trader Joe gift bag for raffle opportunities. I would be happy to MC the awards ceremony, raffle, and Friday night’s welcome if it be deemed.

Jim Pennell will secure the Mason’s Hall for Friday, table and chair rentals and coordinate delivery and pickup, park cars on Saturday morning, provide ballots and the counting thereof.

Mike Thomas will provide all AV equipment to be used on Friday and Saturday, provide registration services (perhaps a schedule of events to be included?), and contact noted media for announcement our event. He will also be in charge of our FREE swap meet event to take place adjacent to the parked cars. (Near the White fence)

There is a Farmers Market happening across the swinging bridge from our event and of course the beautiful downtown shops of Old Town Arroyo Grande.

Sunday:

We have decided to have an informal Sunday Breakfast event at the Village Café in Arroyo Grande as a meeting place and send off  for our VairFest participants.  This is a voluntary and encouraged event before folks travel to their final destinations. This event will be included in all our press releases that indicate a schedule of events.

BUSINESS MEETING September 3, 2010

The potluck dinner meeting was held at the home of and led by President, Jim Pennell.

In attendance were Jackie Chess, Bob Galli, Don Hemwall, Bill Marks, Zac Mathis, Ed & Charlotte Roberts, Mike Thomas and new members Eric McDaniel and Jason Thompson. We welcome Eric of Nipomo who owns a 1961 Lakewood that is soon to be a daily driver. Also Jason of Arroyo Grande who owns a 1963 convertible that needs fixing.

The July 8th meeting at the Roberts ended up being just a social with no business transacted. Although

a drawing for door prizes took place yielding $13 of which $5 went to the attendance pot of $55

since Greg Vargas was not there.

The August meeting was cancelled due to the lack of attendance.

Newsletter committee, Corey, Hemwall, O’Brien, Thomas has not met.

All were reminded that Jim Pennell is willing to have a Tech Session when ever folks are ready to set

a weekend date. Zac suggested a Tech Session on carburetor synchronization.

Vairfest:

Per Jim Pennell Bob O’Brien has an application for Lake Atascadero Park and has confirmed the AARP

Building is available April 29, 30, May 1st 2011. We need confirmation to post on the website.

Consider a theme for 2010. 2009 was ‘Always a Great Vintage’ and was 2006 ‘Get Your Kicks in 2006’

Bob Galli has agreed to handle registration. Don Hemwall will head the BBQ committee.

We need to create a list of events and tasks to be included. Bring your ideas to the next meeting.

The raffle raised $20 of which $5 went into the attendance pot of $60 won by Alma Quesnel.

October 7th, 6 pm potluck dinner at the Hemwall’s 8850 Pino Solo Ave., Atascadero

Don will provide Beer Butt Chicken so bring fixings to go with.

BUSINESS MEETING June 5, 2010

The potluck dinner meeting was held at the home of Mike Thomas and lead by President, Jim Pennell.

In attendance were Dave & Jackie Chess, Jim Corey, Bob Galli, Don Hemwall, Bill Marks, Jim Pennell, Ed & Charlotte Roberts, and Mike Thomas.

Income: $23, 4/19 raffle. Expenses none

May raffle will be deposited with June’s. CD @ 1.29%, due 9/8/10.

Vintage Corsa of Orange County announces Corvair Heritage Day a new worldwide Corvair event.

To be held October 2, 2010 coinciding with the Corvair’s official birthday. Local chapters are free to coordinate any organized event of their choice to mark the occasion. Registration of $20 provides an event t-shirt and magnetic dash plaque and all proceeds will benefit the Corvair Society of America.

Registration deadline is August 1st. Event flyer, registration form and procedures were included.

Correction to the minutes of May 8th: The gold/black license plates were received by Jim Pennell.

Newsletter committee, Corey, Hemwall, O’Brien, Thomas:

Mike reported they will attempt a conference call meeting June 23rd.

Vairfest: Jim Corey will ask Bob O’Brien to check availability of Lake Atascadero and the AARP Building for May 2011.

For sale: ’65 Monza Coup, 110 horsepower, power glide, new interior, good paint and aluminum wheels. Asking price is $6,500. If interested call 805-215-4490 (information from Bill Marks).

A Tech Session was presented by Bob Galli discussing modification of the engine top cover,

the steel baffle plates and elimination of one of two gaskets.

The raffle raised $26 of which $5 went into the attendance pot that is now $50 since Alma Quesnel was not in attendance.

Minutes of May 2010 Meeting

BUSINESS MEETING, SATURDAY, MAY 8, 2010

PRESENT: Bob Galli, Mike Thomas, Bill Marks, Zac Mathis, Don Hemwall, Ed & Charlotte Roberts, Jim Pennell, Alma Quesnel

The dinner meeting was held at the Pennell home followed by a meeting. Charlotte forgot to bring the minutes and treasurer report from April.

Several members attended the Spring Fling in Sacramento the weekend of April 30-May 2. Attendance was good and good representation in the car show. It was an enjoyable weekend.

Vair Fest 2011 was discussed in Sacramento and there was interest expressed. Request was made for another wine tasting event as at last event. Discussion of potential dates knowing that Wildflower Triathlon is the 1st weekend in May. Consensus to try for 3rd weekend in May depending on availability of the AARP building and the Lake Park. Suggest Bob O check on availability of the facilities. To get better attendance we need to do more advertising and earlier in the year. Suggestions to advertise in Fast Vair, Virtual Vairs, Corvair Center, Hemmings Magazine, and Drive Magazine as well as Communique. Mike also suggests a swap meet by club members at Vair Fest.

Jim P finally got his gold/black license plates and needs to get the car registered with them. The original plates need to be taken to the DMV when registering and it usually take 2-3 months to process.

Next meeting will be at Mike Thomas home. Meeting adjourned at 8:45 PM.

Raffle held earning $13, with $5 going to attendance. David Chess name was drawn, missed $45.

BUSINESS MEETING April 10, 2010

The meeting was held at the Gwynne’s and opened by President, Jim Pennell at 7:00 pm following a Potluck Dinner. In attendance were Jackie Chess, Bob Galli, Jeff/Betty Gwynne, Don Hemwall, Bill Marks, Jim Pennell, Ed & Charlotte Roberts, Chuck & Mary Kay Smith and Mike Thomas.

Beginning Balance: Checking account – $1,222.57, CD – $5,026.57

Income: $24.00 = $10 dues for Carroll + $14 raffle

Expenses none

Correspondence:

A Corvair Spyder Convertible owner trying to determine if there are any surviving such vehicles produced after his 1964 that may also be roadworthy. We have no knowledge of any.

Old Business:

Newsletter committee: Corey, Hemwall, O’Brien, Thomas – Mike reported they have not yet set a meeting date (due to illness) but hope to soon.

The Wildflower Corvair Run  March 21st was attended by Mike Thomas-’60, The Chess’s-’62, Don Hemwall-’63, Bill Marks-’64 plus Jim Pennell & Bob Galli. The group headed east on 58, to Shell Creek Road where many flowers were found & enjoyed. Different back roads were then traveled circling back to El Camino Real. Lunch was provided by Jim & Jean Corey at their home.

New Business:

The Spring Fling in Sacramento April 30-May 2nd will be attended by Don Hemwall, Bill Marks, Jim Pennell and Mike Thomas.

Vairfest is expected to take place April-May 2011 in Atascadero. Don Hemwall will look at local events & holidays in that time frame to assist setting a firm date. Activities of previous Vairfest‘s were reviewed for the benefit of our new members. Chuck Smith has experience barbecuing for large groups.

A Tech Session was presented by Bob Galli featuring Bob Ballew’s book ‘Powerglide Transmissions’.

Specifically discussed was Governors with copies of that chapter offered to all. This book was written in 2000 with great detail of how to do specific technical tasks. The book was never professional published but is offered for purchase. Jim Pennell will forward, via e-mail, where this can be purchased.

The meeting was adjourned at 8:15 pm. The raffle raised $28 of which $5 went into the attendance pot that is now $40 since Kristen Spencer was not in attendance.
